Financial Timelines

OSI must adhere to Finance and Administration deadlines and other campus department timelines to ensure student organizations' financial obligations are met. The following outlines the processing times for various financial activities:

  • Contract Request Submissions: Typically take 4 to 6 weeks or longer, depending on negotiations and other factors.
  • Club Contribution Submissions: Generally take 2 to 3 business days to process a request for co-sponsored events between student organizations and campus departments.
  • Deposits Submissions: Usually take 5 to 7 business days to process through Workday.
  • Financial Managers (FMs) FRF Submissions: Financial Managers are required to submit FRFs within 7 business days after the group event or activity ends.
  • OSI Staff Processing FRF Submissions: OSI staff typically take 5 to 7 business days to process a properly submitted FRF. After this, the FRF must be submitted through Workday for approval by Accounts Payable (AP), which can take an additional 5 to 7 business days depending on their workflow.
  • SBC Budget Request Submissions: Review and approval of budget submissions take about 5 business days. OSI administrative staff then conduct the final approval and process them through the university finance system.
    • Generally, OSI staff generally need 2 business days to transfer funds into student organization accounts after budget requests are approved by SBC.
    • At every stage, student-run committees and university staff are involved in reviewing, approving, and transferring funds through WesNest and Workday financial systems.

Financial Deadlines

Online Contract Request Forms:

All contracts must be submitted at least 6 weeks before the date of the event if the person is a U.S. citizen or 8 weeks if they are coming internationally. Contracts submitted after this deadline will be denied unless the date of the event can be moved to a later day. 

 ** Please note: The person or the agency being paid should have their payment sent out approximately 14 business days after the date of the engagement once the student organizer confirms the event was successful.  

Deposits:

All deposits must be submitted before 3:45 pm during normal office hours.

** Please note: If you have to make a deposit after 3:45 pm, please bring it to Public Safety for overnight storage.
