The Research in Science Summer Fellowship is a full-time paid position. In 2024 Research Fellows will be paid hourly at a rate of $17.50/hour for an expected 37.5 hours per week. A student who works all of these hours would receive approximately $5000. It is expected that all summer students will work full time on their research and will not take on additional part-time employment during the summer program.

- Before Beginning Work
- If this is your first on-campus job, visit the Gordon Career Center Campus Employment for Students website and follow the process for "First Time Employees". You must have your required IDs with you on campus and you must meet with Payroll in person.
- If you have concerns about your eligibility for paid work, please reach out to Dean Mike Whaley (mwhaley@wesleyan.edu) to discuss next steps.
- You are not allowed to begin work until you have completed the hiring process.
- The CIS AA will send an email to let you know when you have access to your timesheet and are allowed to work.
- Using Workforce Time to Clock In and Out
- You are responsible for logging your hours in Workforce Time. Instructions for using the program on your phone are available here.
- Please clock in and clock out using the "In for Work" and "Out from Work" buttons on the home screen.
- If you forget to clock in, you may manually enter hours, but please only use this as a backup.
- Please note that Workforce will round your hours to the nearest 15 minutes.
- You can request a correction to an entry by adding a comment: In "My timesheet" select the entry, then "Edit" in the top right corner.
- For example: You forget to clock out for a lunch break you took from 12pm to 12:30pm. You might add the comment "I forgot to clock out when I took lunch. Please add my break from 12pm to 12:30pm" The CIS AA can then add your lunch break to your timesheet.
- Work Schedule
- It is your responsibility to work with your advisor to plan your schedule.
- You may work up to 37.5 hours per week. You may not work more than 37.5 hours in any given week.
- Student employees are prohibited from working over 40 hours per week during the summer.
- The Work Week is Monday - Sunday.
- You may work different hours each day, and a different schedule each week, as long as the hours that you work each week do not exceed 37.5.
- For example, you typically work 7.5 hours each day, but an experiment requires you to work for 9.5 hours on Wednesday. You then work only 5.5 hours on Thursday to keep your total hours under 37.5.
- Keep in mind that workshops and seminars count as worked hours when planning your week.
- RIS social activities do not count as worked hours.
- June 19 and July 4 are holidays. The university is closed and you are encouraged not to work. Seasonal employees do not receive holiday pay or extra pay for hours worked on a holiday.
- You must clock out and take a 30-minute unpaid lunch break during any shift that will be 7.5 hours or more.
- Submitting Your Timesheet and Being Paid
- After your last shift of the week, double check and submit your timesheet.
- The CIS AA will approve timesheets on Monday. All corrections or additions to the previous week's timesheet must be emailed to the CIS AA by 9am on Monday. Corrections submitted after this time may not be able to be applied to your timesheet until the following pay period.
- You will be paid each Friday for the hours worked the previous week. This means that your first paycheck will be issued on Friday of the second week of the program, and your final paycheck will be issued on the Friday of the week following the end of the program.
- Frequently Asked Questions
Can I work extra one week in order to make up hours from another week?
Yes. However, there are two considerations. 1. The absolute limit is 40 hours. You cannot work more than 40 hours/week, even if you work fewer hours in other weeks. 2. The "make-up" time cannot cross the fiscal year. Meaning, you cannot work extra hours in July to make up for hours you missed in June, or vice versa. As long as you adhere to those two rules, it is okay to work fewer or more hours in non-consecutive weeks in order to balance your time to 37.5 hours/week.
Why is my paycheck a different amount than I expected it to be?
Hourly payroll is taxed so your net pay (the amount deposited into your bank account) is lower than your gross pay ($17.50/hour x hours worked). It is possible there are additional deductions related to your student account. If you have questions about your deductions, or wish to adjust your tax rate, please contact the Payroll office (payrollhelp@wesleyan.edu or submit a payroll ticket through your wesportal). Self-service payroll forms for taxes and direct deposit are available through your portal.
What happens if I work more or less than my scheduled hours?
Students who submit more than 37.5 hours or less than 30 hours in one week will be contacted by email. The CIS AA will work with you to address the discrepancy. For example, you may be required to work fewer hours in the next week or the timesheet may be ammended if you forgot to record a break (resulting in too many hours) or attendance at a seminar (resulting in too few hours).
I'm a CIS major and completing the summer program is a major requirement. Do I still get paid?
Yes. All participants in the Research in Science summer program are paid at the same rate.
