The Gordon Career Center Credential Service provides administrative support for the management of your letters of recommendation for admission to health professional school in a reliable and confidential manner.

Please note: As of July 1, 2011, the Credential Service is only working with registrants who have identified themselves as applicants to health professions graduate programs (medical, dental, veterinary, physical therapy, pharmacy, etc.). Current students registering for the Credential Service are requested to schedule an appointment online on Handshake, or via phone or email, to speak with Rosalind Adgers, Health Professions Administrative Assistant/Credential Service Coordinator.

Registrants may pay for the service by cash, check (payable to Wesleyan University), or student registrants may charge the fee to their student account (from September through March 30, 2018 - this date may be subject to change). Credit Cards are not accepted. See more information about Credential Service fees below.

The Committee Letter Process Timeline

The applicant is responsible for reviewing the designated deadlines and becoming informed regarding any specific instructions in the "Instructions and Overview of the Request for the Committee Letter Timeline" handout. The applicant should also review the information provided on this webpage and on the other links within the Health Professions website.

LETTER WRITERS

When you are requested to write a letter of recommendation, it is important for the student/alumna/us to provide you with a signed "Request for Individual Letter of Recommendation" form ( PDF | Word), a resume, and a short personal statement.

THE CREDENTIAL SERVICE LETTER TRANSMITALL PROCESS

If you have earlier submission deadlines for documents in support of your application to your health professions programs, we will need a minimum of 45 days advanced notice. 

By Federal Law as per The Buckley Amendment, your committee letter or letter packet, including the individual letters of recommendation on file with veCollect will only be sent out to the health professions programs after you have submitted to the Credential Service Coordinator a written request containing your signature, your AAMC, AMCAS Letter ID, AACOMAS, AADSAS, VMCAS, and/or TMDSAS ID number(s), your preferred email address, and a list of all medical, osteopathic, dental, or veterinary medicine schools to which you are applying. We will accept signed requests delivered in person, received by postal mail, scanned and sent as a PDF by email, and faxed requests to 860-685-2181, however, telephone and unsigned email requests will NOT be accepted. If faxing, please follow-up with an email message to health.professions.credential.service@wesleyan.edu indicating that a request has been faxed. 

If you have a deadline for the first week of January 2018 you MUST have your requests to the Credential Service office NO LATER THAN December 1, 2017. Any requests received after that date are not guaranteed to be processed and mailed to meet earlier January deadlines. The Credential Service will be closed for winter break beginning December 15, 2017 at 1:30pm and will re-open on January 4, 2018. Please make note of this hiatus. 

Recommendation letters marked as "Confidential" may not be read by the student or alumna/us. Registrants are required to sign and waive their right to see their individual letters of recommendation on veCollect. This is highly recommended from the stand point of the admissions committees because it provides a degree of higher credibility to the letters written on your behalf. You must notify the Credential Service Coordinator if there are any changes to your list of letter of recommendation writers.

A committee letter on behalf of the Health Professions Panel cannot be written without at least three individual letters of recommendation on file. Moreover, at least one letter of recommendation must be from a Wesleyan University faculty or staff member. 

What if you miss the designated deadlines, or do not take the MCAT for the first time by the last test date in May 2018? We will be unable to provide you with a committee letter, however, you may request a Letter Packet by May 30, 2018. The Letter Packet consists of a standard cover letter and all of your individual letters of recommendation on file. 

Institutional Action

When requesting a committee letter of recommendation, you complete a Letter of Clearance Form, which provides the Health Professions Panel with a Letter of Academic and Disciplinary Clearance from the Office of Student Affairs. If you have any record of disciplinary sanctions at Wesleyan, you will receive a copy of this letter describing in detail the violation (e.g. intoxication, disturbance of the peace, etc.). For complete transparency, a brief description of the violation is included at the end of the committee letter.

Upon completing your centralized application to health professions programs you will be requested to disclose any incident that pertains to non-academic conduct violations as well as academic misconduct. 

If a health professions school requests a copy of this Letter of Academic and Disciplinary Clearance, please send the request to Rosalind Adgers, Health Professions Administrative Assistant/Credential Service Coordinator, who will send a copy of the letter to that specific program. Send the request by email to health.professions.credential.service@wesleyan.edu. In the subject line of the email please indicate "Request Regarding Institutional Action."

    KEY CLOSURES
    Please note that the Credential Service will be closed on the following dates for the Thanksgiving and winter breaks. 
    Thanksgiving Break: November 23 - 25, 2016
    Winter Break: December 16, 2016 (after 1:30pm) - January 3, 2017

    If you have early December deadlines, all requests must be received by this office no later than November 1, 2016. 
    If you have early January deadlines, all requests must be received by this office no later than December 1, 2016. 

  • How to Register

    Wesleyan alumni may purchase a file by downloading, printing, completing and mailing a Credential Service Registration form (PDF | Word) along with payment (a check made payable to Wesleyan University) to:

    Credit cards are not accepted. Upon receipt of completed registration form, payment, and a signed veCollect Account Request form (PDF | Word), an email will be sent to the registrant to provide an access authorization code to veCollect. Please inform us whether you need to have a Credential Service registration packet sent to you by postal mail.

  • How to Ask the Credential Service to Send Out Your Letters

    Upon receipt of your request, the Credential Service will process it within 5-7 business days. 

    Please Note: The Committee Letter process involves a detailed review by the Health Professions Panel members, therefore these letters will not be available for uploading until approximately the end of July.*

    If a health professional program to which you are applying does not participate in the centralized application service (e.g. AMCAS), you will need to provide a request with a list of any pertinent ID #s, the name of a contact person, and an address to which we will be mailing your letters of recommendation as a Letter Packet or Committee Letter File. Your registration fee covers the cost of processing, postage, and envelopes. 

    If the health professional program you are applying to has campuses at different locations you will need to specific the campus you are applying to. For example, the Philadelphia College of Osteopathic Medicine has a campus in Philadelphia and another one in Georgia, and the applications go to the specific campus. 

    *This does not apply to registrants using a health professions committee letter. The committee letter is included in your Committee Letter File and includes all of your individual letters of recommendationa nd your health professions reusme and takes 2-4 months to prepare and 1-2 months to be reviewed by the Health Professions Panel. 

    The Credential Service will NOT fax Letters of Recommendation. 

    If you have a deadline for the first week of January 2017 you MUST have your requests to the Credential Service office NO LATER THAN December 1, 2016. Any requests received after that date are not guaranteed to be processed and mailed to meet earlier January deadlines. The Credential Service will be closed for winter break beginning December 16, 2016 at 1:30pm and will re-open on January 4, 2017. Please make note of this hiatus. 

    Remember: Before submitting a Signed Request, check your veCollect file to ascertain that all individual letters of recommendation have been received. Once you have confirmed the reciept of all of your letters on veCollect, you may then request to have your letters uploaded or sent by postal mail (send request to the Credential Service Coordinator). It is also your responsibility to ensure that recommendations arrive at their final destination. If not all requested letters are in your file, your request will not be process. 

  • Credential Service Fees
    • Registration and 5 school uploads via Virtual Evaluations: $35.00
      • Veterinary Medicine applicants will need to subscribe to the "5 upload package"
    • Registration and 15+ school uploads via Virtual Evaluations: $50.00
      • Medical and Dental School applicants will need to subscribe to the "15+ upload package"
    • These fees apply to both "Committee Letter" files and Letter Packets
    • Credential Service Fee Waiver: Applicants with extreme financial need may be eligible to receive a fee waiver and may apply to receive a fee waiver by completing the Credential Service Fee Waiver form (PDF | Word).
